Available Positions

Busy CPA firm seeks a detail oriented administrative assistant to handle the front desk. This position is responsible for the front office administration including:

  • Answer multi-line phone system, take messages, direct calls to the appropriate party, schedule appointments.
  • Greet and assist clients.
  • Assist with meeting preparation.
  • Handle incoming and outgoing mail (apply postage; prepare certified mail labels; prepare overnight shipping labels; distribute incoming mail to employees).
  • General office administration including scanning, assembly of tax returns, general correspondence, etc.
  • Manage office and kitchen supplies.
  • Must be willing / able to run errands on behalf of the firm.
  • Open, prepare and close the office each day making sure the lobby, conference rooms, general work areas, and lunchroom are in order.
  • Assist the partners and staff with any daily administrative needs.

Requirements:

  • Excellent interpersonal skills, including professional telephone and client service skills.
  • Working knowledge of Word, Excel and Outlook.
  • Ability to multi-task and adapt to change quickly.
  • Maintain client confidentiality.
  • Strong attention to detail
  • Strong organizational skills
  • Previous experience in office administration or other related fields

As our firm continues to grow, we are currently looking for a Staff Accountant / Full Charge Bookkeeper to join our team of professionals.

This position is responsible for working directly with multiple firm clients performing daily accounting functions, accruals, financial statement preparation, and other general accounting functions.  A thorough knowledge of bookkeeping is needed for this position. Individuals must be self-managing, highly organized, have a strong attention to detail and enjoy working with people

The responsibilities for this position include, but are not limited to, the following:

  • Prepare monthly financial statements
  • Reconcile balance sheet accounts reviewing for input accuracy and prepare monthly reports
  • Review general ledger for accuracy, making journal entries as necessary
  • Multiple bank reconciliations for depository accounts
  • Accounts receivable including preparation of monthly invoices and maintaining customer and vendor records
  • Accounts payable including purchase orders and vendor records maintenance, including new setup
  • Prepare weekly payroll including calculating overtime and other pay premiums and entering payroll data.
  • Administration of quarterly and annual business and payroll taxes
  • Prepare quarterly and annual payroll tax returns, including W-3, W-2’s, and 1099’s.
  • Maintain required business documents
  • Assist with the annual budget and audit process
  • Maintain financial document retention files
  • Vendor statement reconciliation and discrepancies
  • Deposit and cash reports
  • Prepare and/or review all expense reports for accuracy and proper expense disclosure
  • Perform other related duties as may be requested

Requirements:

  • Accounting degree is preferred.
  • Proficiency in QuickBooks
  • Extensive knowledge of Generally Accepted Accounting Principles
  • Three to five years’ Full Charge Bookkeeping experience
  • Proficiency in Microsoft Office, including intermediate to advanced Excel skills
  • Ability to prioritize and work on multiple clients and multiple projects simultaneously
  • Highly organized, detail oriented, able to multi-task in a fast-paced work environment
  • Must be deadline oriented, able to complete tasks accurately and timely with minimal supervision
  • Strong verbal and written communication skills
  • Proven ability to maintain confidentiality
  • Thrive in a collaborative, team atmosphere environment
